Standard booking terms.

By making a booking and / or participating at activities at GAMEGRID LTD – you consent to the below booking terms which apply to all of our standard bookings.

  • For non-standard (group / party / corporate / stag-hen bookings) please consult the specific terms we provide you with after you have made your initial booking enquiry.

All players must be aged 8 years or over to use our VR Gaming Arenas, VR Escape Game experiences and VR Treadmills.

Players must be aged 10 years to use our VR Racing Simulators (also see height / weight restrictions). 

All children under the age of 18 are required to be supervised by a relevant adult aged 18+ at all times.

Due to licensing rules, no under 18’s are allowed entry to the premises without adult supervision.

A personal liability waiver must be completed for every player prior to using any of our equipment. Signed waiver’s will be stored on the customer’s account and retained by us in line with the Data Protection Act 2018.

Any player aged under 18 years must have a waiver signed by a supervising adult aged 18 or above.

The total cost of your booking must be paid upfront in order to confirm your booking with us. Bookings are not deemed confirmed until the full amount of your booking has been received by the venue.

Redemption of credit, discount codes and gift-vouchers may only be up to their advertised value, expiry date and as per their advertised terms of use.

Credit, discount or vouchers cannot be applied to bookings retrospectively after they have been paid for.

Players on our VR Treadmills must be between 1.4m – 1.95m in height, not exceeding 130kgs in weight.

Players on our VR Racing simulators must be a minimum of 1.4m tall and not exceed 130kgs in weight.

Players on our VR Flying motion simulator must be a minimum of 1.2m tall and not exceed 100kgs in weight.

To prevent damage to our equipment, we may require players to use our height or weight scales provided prior to equipment use.

It may be possible to add on additional players to your booking, subject to availability. Any additional players must be paid for in full at the time of notifying the venue.

Our experiences are charged on a per-player basis. You make a booking for the required number of players to play during your visit. 

It is not possible to split play-time booked on our equipment with any other players that have not been paid for. We reserve the right to end play time early or charge for any additional individuals that are found to be using/playing on our equipment at the standard rate.

Unless otherwise published or agreed with venue management, bookings can be cancelled free of charge up to a maximum of 24 hours prior to the booking taking place. In the event of a booking cancellation of up to 24 hours notice, the option of a full monetary refund, or in-store credit will be applied to your account will be offered to the booking organiser.

No monetary refunds will be given if a booking is cancelled with less than 24 hours notice prior to the booking taking place. The booking organiser will be provided with in-store credit for the full value of the booking only.

No external food or drink may be consumed on the premises with the written consent from venue management.

Anyone found to be consuming their own food or drink will be asked to leave the premises without a refund.

All players must observe a staff demonstration on how to use our equipment properly and how to request staff assistance within the games before play commences.

Unless otherwise confirmed, no other equipment aside from the equipment included as part of your booking, will be available to you during your visit. Use of additional equipment during your visit is subject to availability and will be charged for at the standard rate.

Use of our equipment may only be in accordance to the demonstration and house rules provided by venue staff prior to participation. Players found to be using any equipment dangerously and not in accordance to our house rules provided will be initially warned of their behaviour. Should incorrect use continue after a warning, then the player will be asked to leave with no refund given.

We reserve the right to charge for any broken or damaged equipment at our venue due to improper use by any player, either accidental or intentional.

As with all technology – the highly advanced nature of our experiences means that our equipment may sometimes – on occasion, malfunction. Our staff will endeavour to rectify these issues as quickly as possible. We ask for player’s patience during this process and any session time lost will be compensated back to the player wherever possible, subject to availability.  On occasions where it is regrettably not possible to compensate play session time then any time lost will be credited back to the booking organiser to use on a future booking.

In the case of unforeseen circumstances (i.e. equipment malfunction, electricity failure) when an entire booking cannot be honoured then a full monetary refund will be provided, or an alternative time slot can be booked.

In the interests of hygiene and the protection of our equipment, players must wear a VR hygiene eye mask at all times when wearing a VR headset. The cost of eye masks is not included in our per-person prices for standard experiences. Eye masks can be purchased online as an additional extra during the booking process, or can be purchased from reception upon arrival.

Socks or tights must be worn by all players using our VR Treadmills. Shoes must be removed to avoid damaging the low-friction Treadmill surface plate.

Users must not fit or remove their own VR headsets unaided except in an emergency. Staff will assist users to fit and remove headsets to avoid causing personal injury or damage to our equipment.

For safety, all spectators and non-players must keep clear of the marked play zone areas and not interfere with players using the equipment. Be mindful that users wearing a VR headset whilst playing on our equipment will not be able to physically see other individuals in the real world.

We may photograph or record players using our equipment during their visit in-store. By making a booking, you give us the right to use these photographs and footage in our marketing material. If you do not wish to be photographed then you must make staff aware before arriving at the venue.

Players must arrive at the venue 10 minutes prior to the booking start time. The booking session time starts at the published time that has been booked. Late arriving players will experience shorter play time in the headsets and no refund will be offered.

It is not possible to pause player session time in the headsets. Unless otherwise advised by venue management, bookings will end at the published time.

We take no responsibility for personal possessions brought onto the premises. Storage lockers and USB phone charging points are provided for user convenience only and we will not be liable for any loss, damage or theft of items.

GAMEGRID LTD operates a strict no-smoking policy throughout the venue. Smoking, vaping and the use of electronic cigarettes is not permitted inside any part of the venue.

Although GAMEGRID LTD sells alcohol, we do not encourage excess drinking and therefore reserve the right to restrict the sale of alcohol only to those we deem fit for consumption. Any alcohol provided for consumption during your event will be served in line with the Licensing Act 2003.

We reserve the right to refuse admission to any customers that are deemed by venue staff to be under the influence of alcohol, drugs or displaying any other impairment or behaviour that we feel would cause a danger or distress to customers or staff at the venue.

We strive to make your experience as enjoyable as possible. All feedback is welcomed, however in the unlikely event that you are unhappy with your experience then any complaints must be logged and recorded by the duty manager before leaving the venue. We will try our best to resolve any complaint with you before you leave.

Complaints will not be upheld if we are notified of an issue during your visit after you have left the venue.

Our experiences are highly immersive and the very nature of virtual reality is designed to be extremely realistic. This level of immersion may cause you to experience intense emotions and sensations, all of which are perfectly safe but add to the fun and excitement of using our equipment.

Please ask a team member for detail on:

 

  • Content advisory- giving information about elements of the experience that could be offensive or inappropriate for some guests (e.g. bad language, adult humour, violence, etc).
  • VR experience advisory- giving information about elements of the experience that could be stressful or unpleasant for some guests (e.g. extreme heights, sudden scares etc).

Below is a list of potential issues which may arise as a result of participating in activities at GAMEGRID LTD. Please read the list carefully and think about how these issues could affect you before deciding to proceed.

 

  • Use of the VR headset may cause eye strain.
  • Extensive or excess high noise levels may harm hearing.
  • Screens may flicker and / or there may be flashing images which may trigger underlying health conditions.
  • Use of the headset may induce feelings of motion sickness.
  • Use of the technology may interfere with some medical devices (e.g. cardiac pacemaker). Users of medical devices should consult with their doctor before participation.
  • The technology and some content may not be suitable for those with pre-existing medical or mental health conditions.
  • Content and physical body activity required to participate fully in some experiences (i.e. jumping, ducking and moving rapidly) may not be suitable for users that are pregnant or in poor physical health.
  • Use of the technology and content may induce feelings of claustrophobia, other phobias or panic.
  • Objects in the real world may not be visible in the virtual world.
  • Objects in the virtual world may not exist in the real world.
  • Feelings of disorientation may be felt at the end of the experience.
  • Repeated, intensive use may exaggerate the effects above.

Players must not participate in any experience if they are tired, feel unwell, under the influence of alcohol, drugs, are hung-over, in pain, stressed or anxious as these factors can increase their risk of potential issues.

Players must inform venue staff if they have any concerns or questions regarding their health & safety before, or during their visit.
